If you're like most investors, the phone is a pretty big part of your life. This is one of the most important communication tools you use every day to follow up on leads, close deals and MAKE MONEY. If you want to be effective in your business, you need to know how to manage your phone time; there's just no way around this.

In my company I get a lot of calls from motivated and unmotivated salespeople. I also get a lot of calls from people trying to sell properties I don't want. I spoke to these types of prospects for hours every day. Essentially, my conversations with these people would be a complete waste of time… but how else would I know who I was dealing with if I didn't talk to them on the phone?

Let's face it: we ultimately won't do business with ANYONE who calls us (in fact, it's usually the exact opposite). Most of the time you have to search high and low to find that one person who really needs what you are trying to help them with. So how do you eliminate the 90% of callers who are just busy and not really serious about closing a deal with you?

Several years ago I decided to create a voicemail message to help me deal with this problem, and over time it turned out to be really effective. It was a message that anticipated people's needs, answered questions, kept people on the phone, and most importantly, got them to give me some answers before I spent any more time on the phone with them.

The idea behind this was to get some information that was actually helpful before wasting another 10 – 15 minutes calling them back. This one post has literally saved me hundreds of hours of my time (and that's a conservative estimate).

After using this post to screen my calls for about a year, I started to realize that even though it was very helpful in handling my calls at all hours of the day, I still had to spend a lot of time returning calls of these people… so while the severity of the problem was reduced, it was not necessarily 'solved'.

What I decided to do was build a purchasing website. Once this site was online, instead of asking people to call me, I changed my direct mail message and voicemail script to simply instruct people to visit my website and submit their information to me online ( and once they did, I could message them with an offer in 30 seconds – instead of spending 30+ minutes on a conversation that went nowhere).

I still allowed my prospects to call me (because let's face it, a lot of people still want to talk to someone on the phone), but if they chose that medium – my message explained in a very compelling way that I was happy was that they called me, but it would certainly be in their best interest to visit my website and pass on their information that way.

This new setup was another HUGE step forward in helping me eliminate wasted time and I still rely on it quite heavily to this day. As a result, many people still call me… but when they do, most don't bother leaving a message because they know there is a better way.

Nowadays I don't even answer the phone when a prospect calls me. My phone system through RingCentral is programmed to send callers straight to voicemail where they hear my message.

Now, I know what you're thinking… is it possible that with this type of voicemail system I'm missing a few opportunities along the way? Probably! But what do I get in return for this trade-off? I GET FREEDOM. My business doesn't control me, I CONTROL IT.
