We'll start with a simple strategy to receive a text message (SMS/MMS) when a very important email arrives in your inbox. Never miss an urgent message that needs your attention.
Then I'll show you how to conditionally format your messages so that messages that are important to you visually stand out.
Third, we look at the To or CC rule. If you're not on the To or CC lines, the message is probably not very important. With this rule, only messages for which you are on the to or cc line will remain in your inbox.
Fourth, we group messages by conversation so conversations take up less space in your inbox.
Fifth, we'll look at how to flag messages for follow-up. As a bonus, follow-up messages appear in To Do, where you can add tasks to your My Day view. This allows you to focus on tasks that matter.
In addition to setting your own follow-up flags, we'll also look at how to set flags on outgoing messages so you don't forget when you request things from others. This serves as a good tracking system to ensure you receive responses to your requests.
Next, we'll look at how to set up meetings directly from an email thread. This preserves context, such as who was included in the message and the body of the message. This makes it even easier and faster to organize meetings.
We then turn our attention to reducing disruptions by turning off sounds and notifications and replying to messages in a new window. Finally, we'll look at how to use the mute button to mute discussions that don't need your attention.
Following these strategies helped me focus on the emails and the work that mattered, making me more effective at my job at Microsoft.
